HOTEL BOOKING DEPARTMENT

Main Tasks

    • Scouting hotels and preparation of contracting;
    • Handling of hotel requests for individual participant and groups (attribution of allotments, contracting, rooming list management, management of payments, “special request” processing) using different sales tools;
    • Answering questions of participants regarding hotel reservations;
    • Collaborating with the other internal department of the PCO.

Requirements

  • 2 years of experience in a similar position (preferably with another PCO);
  • Fluent written and spoken English. A second language is a plus;
  • Good knowledge of Office applications (especially Excel and Word);
  • Flexible, especially in busy periods;
  • Both strong team and individual player skills;
  • Good ability of communication and negotiations;

SENIOR PROJECT MANAGER

The candidate will be responsible to verify the aspects of tender documentation, to verify the study and analysis of feasibility of the project and to prepare administration, technical and economic documentation taking into consideration the possible technical/formal critical elements.
The candidate will relate to the client, suppliers, colleagues of its office to find information necessary in order to organize the event.

Requirements

  • 10 years of experience as Project Manager in Event Organization
  • Good initiative, problem-solving, autonomy, flexibility, precision, accuracy and communication skills
  • Sense of responsibility to develop the economic and technical project
  • Degree with administrative/legal background or economic/management
  • Capability to work under stress conditions
  • High level of organisational and time management skills

EVENT PROJECT MANAGER – SENIOR ACCOUNT

This role will be coordinating with the Head of Operation and the Office Coordinator to ensure that the team assigned has necessary guide lines to achieve pre-defined and pre-agreed goals.

Responsibilities

  • Development, production and delivery of projects from proposal right up to delivery
  • Setting, communicating and maintaining timelines and priorities on every project
  • Communicating, maintaining and developing client relationships
  • Managing supplier relationships
  • Managing operational and administrative functions to ensure specific projects are delivered efficiently
  • Travelling to on-site inspections and event management
  • Delivering events on time, within budget, that meet (and hopefully exceed) expectations
  • Being responsible for all project budgets
  • Ensuring excellent customer service and quality delivery

This role will be coordinating with the Senior Account or Head of Operation to ensure pre-defined and pre-agreed targets project goals achievement.

Responsibilities

  • Plan event from start to finish according to requirements, target audience and objectives
  • Come up with suggestions to enhance the event’s success
  • Support preparing budget management, project schedule and plans
  • Source and negotiate with vendors and suppliers
  • Coordinate all operations
  • Lead promotional activities for the event
  • Supervise all staff (event coordinators, suppliers, on-site staff, etc.)
  • Ensure event is completed smoothly and step up to resolve any problems that might occur
  • Analyze the event’s success and prepare reports

This role will work with the Art Director or account manager and will develop creative ideas and concepts on a variety of products and activities, such as websites, advertising, books, magazines, computer games, product packaging, exhibitions and displays, corporate communications and corporate identity.
The appropriate media and style has to be chosen to meet the client’s objectives.

Responsibilities

  • Working with Art Director, account managers and copywriter to discuss the projects objectives and requirements of the job
  • Developing design briefs that suit the client’s purpose
  • Thinking creatively to produce new ideas and concepts and developing graphics and layout
  • Proofreading to produce accurate and high-quality work
  • Demonstrating illustrative skills with rough sketches and working on layouts ready for print
  • Working as part of a team with account executives, web developers and marketing specialists, copywriters, photographers, stylists, illustrators, printers and other designers.

Skills

  • 3+ years of design work experience
  • Working with a range of media, video and web editing i.e. Photoshop, InDesign, Illustrator, and keeping up to date with emerging technologies
